Privacy policy

This notice explains how Waterwell Clinic collects, uses, stores and discloses your personal and health information, and how you can access it or make a complaint.

Why this applies

Waterwell Clinic provides a health service. Under the Privacy Act 1988 (Cth), organisations that provide a health service and hold health information are covered by the Australian Privacy Principles regardless of annual turnover — the small business exemption does not apply to health service providers, and complementary therapists including naturopaths are expressly covered.

Health information is treated as sensitive information under the Act, which carries a higher standard for consent, handling and disclosure than ordinary personal information.

What we collect

Personal information

  • Name, email address, phone number and country or region
  • Appointment times, booking history and correspondence with the clinic

Health information

  • Your health history, symptoms and reason for consulting
  • Information you provide in an intake form or during a consultation
  • Consultation notes and any plan prepared for you
  • Results of any testing arranged as part of your care

How we collect it

Directly from you — through the booking form on this website, an intake questionnaire, email, and during your consultation. We do not buy personal information from third parties.

Where you provide information about someone else (for example a child you are booking for), we rely on you having the authority to do so.

Why we collect it and how we use it

  • To provide naturopathic consultations and prepare a plan for you
  • To arrange appointments, send reminders and communicate about your care
  • To keep accurate clinical records, as required of a health practitioner
  • To take payment for consultations

We do not use your health information for marketing.

Who we disclose it to

Your health information is not disclosed to anyone else except:

  • with your consent — for example, to your GP or another practitioner involved in your care
  • to the service providers that operate this practice's booking, video-consultation, email and records systems, who are bound to handle it only for that purpose
  • where we are required or authorised by law to do so

Where your information is stored

How we keep it secure

Records are held in access-controlled systems, protected by passwords and, where available, multi-factor authentication. Consultations are conducted over a secure video connection. Access is limited to Kohei Iguchi.

How long we keep it

Clinical records are retained for the period required of health practitioners, and are securely destroyed or de-identified once no longer needed.

Accessing and correcting your information

You can ask for a copy of the personal and health information we hold about you, and ask us to correct anything that is wrong. Email info@waterwellclinic.co.nz. We will respond within a reasonable period, normally 30 days. In limited circumstances we may need to refuse access — if so we will explain why in writing.

Cookies and website analytics

This website does not run analytics, advertising or tracking cookies. It sets no cookies of its own and does not build a profile of your visit. If that changes, this section will be updated before the change goes live.

Making a complaint

If you are concerned about how your information has been handled, contact us first at info@waterwellclinic.co.nz so we can try to resolve it.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
